SUGGESTIONS FOR THE PROPOSED ROLE OF SBCO

Dear Comrade,

Greetings to you. I herewwith send the proposed work of SBCO as decided by DTE. They circulate it for comments / suggestions. In this regard we wish to suggest the following

1. General :
point no. 1

Instead of deployment of staff of SOSB branch to SBCO, deployment of such no. of posts to SBCO for voucher checking

Point no. 2:
It is silent on other works entrusted with SOSB now. such as preparation of Heavy withdrawal memos, verification of the same, Issue of duplicate Pass books etc., This should be made clear that such works will continue in the SO SB branch it self.

CHANGE IN PROCEDURE OF SEALING OF VOUCHERS AND LOT BY CBS POST OFFICES :

Point no. 6 : Consolidation generated in CBS offices is to be stitched with voucher bundle. We suggest that another copy of the same should be attached with LOT so that SBCO can verify the total of each head for all SOL ids.,

OVER VIEW OF PROPOSED WORK OF SBCO:

s.NO.7 General check of vouchers & checking of vouchers: In the CBS scenirio, voucher checking could not be done. Only we can have  General check of vouchers  as prescribed in the Rules now and that too as percentage check instead of 100%  checks as proposed now by DTE. We suggest 20% of general check of all types vouchers in r/o all categories.


In the " OVER VIEW OF PROPOSED WORK OF SBCO" General checking and Voucher checking are proposed. But in " Proposed duties of SBCO PA / Sueprvisor, only General check of vouchers is prescribed. Hence it is most important to delete the work ' voucher checking'
in the OVER VIEW OF PROPOSED WORK OF SBCO' . Other wise it will lead to confusion in future and Executive officers will charge us stating that we are not doing voucher checking.

PRESERVATION OF RECORDS:
In all most all the SBCO units, sufficient record rooms / steel almirahs are not provided. In the absence of the same, keeping the vouchers for 5 years under safe custody is not possible. Instead, we suggest ONE YEAR  at par with the peirod of  preservation of LOT

    At last Our circle union requests our General Secretary to request the DTE, to consult our ASSOCIATION before finalising the work nature of our SBCO cadre since we only know all the pros and cons of our work.
